How to set up an iPhone expense tracker shortcut with Apple Numbers

Basic setup steps

Open the Numbers template
Save a copy of the Apple Numbers expense ledger to your preferred iCloud Drive or local Files location. Keep a blank backup copy before you start customizing categories.

Import the iPhone Shortcut
Open the Shortcut file on your iPhone and review the actions. Apple may ask for permission the first time the shortcut reads visible content, opens files, or writes to your ledger.

Connect the Shortcut to your ledger
Select the OneTapLedger Numbers file when the Shortcut asks where to save entries. Run a test expense and confirm the amount, category, date, and note appear in the right sheet.

Customize categories
Edit categories in the Numbers workbook to match your spending habits, such as food, transport, subscriptions, shopping, travel, or household expenses.

Troubleshooting
The Shortcut asks for permissions. Is that normal?
Yes. iOS may ask before a Shortcut accesses files, reads on-screen content, or opens another app. Review the request and allow only if it matches the OneTapLedger workflow.
My entry did not appear in Numbers.
Check that the Shortcut is connected to the correct Numbers file and that the file is available on your iPhone. If it is stored in iCloud Drive, wait for the file to finish syncing.
Can I use it without bank login?
Yes. OneTapLedger is a manual expense capture workflow. It does not connect to your bank account or import financial data automatically.
